Some of our business is won through the tendering process. This way of obtaining contracts can prove to be difficult as it can be impersonal with any number of contractors walking around together, with the client making a decision on paperwork alone.
With this in mind it is important from the very start that we are fully aware of the client’s current structure and requirements so when attending we know to ask the right questions to complete this process.
Having completed a site visit the information was added to the tender document, making sure that the client received all the information relevant to the submission. As with all our quotations CCL are always looking at ways to improve current standards, reduce client costs and review the provision of cleaning services, hence all our recommendations were included within the tender.
CCL were then contacted and asked to present to the client. This is an opportunity that is relished throughout the company as it allows us to show the true foundations on which we build a partnership.
The site for which we were tendering included a warehouse area where forklift trucks operated. This immediately highlighted a potential health and safety risk so it was important that our NEBOSH Health and Safety Officer attend the presentation to allay any fears the client may have.
Before any contract is awarded the client needs to be confident that there will be a smooth transition, agreeing a cleaning schedule and service level, so it was important that the Operations Manager also attended the presentation. Being a family run company our Chief Executive operates a very ‘hands on’ approach and was also included in the presentation.
(So successful was this presentation the client gave us a contact for another potential contract.)
Before making a final decision the client requested a site visit, this was concluded and we were awarded the contract an hour later.
Prior to the start of the contract Service Levels were agreed and as the client had realised the recommendation we suggested would be more beneficial to their requirements our HR department met with the operatives to advise them of the changes that would be implemented. This was an ongoing process but the final result was welcomed by all.
The contract started on time with all the correct equipment and materials. On site training commenced from day one and the operatives are now working towards gaining their BICS’s qualification from our qualified assessors.
Monthly audits take place ensuring service levels are maintained and a strong partnership has now grown between both client and CCL.
